Enabling in-person attendance

The organisers are committed to making this conference productive and enjoyable for everyone, regardless of sex, gender identity, sexual orientation, disability, age, physical appearance, body size, ethnicity, nationality or religion/belief. We will not tolerate harassment of participants in any form.

We are committed to achieving a balanced and diverse panel of speakers at all our events by inviting speakers of all races, ethnicities, genders, ages, abilities, religions, and sexual orientation without compromising the quality, and remaining within the topic, of the programme.

As part of the registration process, attendees are required to agree to adhere to the Code of Conduct here – View our EDI Policy

We are aware that some people may find it more difficult to attend the event in person.  Please see below practices we have put in place to improve accessibility.

Caring responsibilities

If you have caring responsibilities that mean that you must bring your child(ren) or other vulnerable person with you to the event, we may be able to assist.  If you bring another person to care for them whilst you attend the event, we can may be able to pay for additional accommodation at the venue to enable them to stay with you.  We can also arrange an interconnecting room or arrange z-beds or cot beds to be in your room.

Accessibility at the conference

If you have a disability which means you need a carer to attend the conference to assist you, we may be able to assist in the same way.  The hotel has accessible rooms and interconnecting rooms and lifts as well as rooms on ground floor. If you are a student requiring an accessible room, we will provide you with a room in the hotel for the same cost as it would be in the halls accommodation – please contact us at ccp4sw@stfc.ac.uk and we will arrange this.

More details on accessibility at the venue can be found here.

Quiet Room

During the conference, we have a Quiet Room where the lectures are streamed to enable anyone feeling overwhelmed to leave the lecture theatre and sit somewhere where they can still watch the lectures, but which is quiet and with fewer people.

Other

There is a gender neutral toilet at the East Midlands Conference Centre, which is marked on the map found in the welcome booklet.

There is also a Prayer Room on-site, which is marked on the map found in the welcome booklet.
